Jobs

The job page, visits and crew, and closing a job so it can be invoiced.

A job is agreed work. It holds what will be done and for how much, and it carries one or more visits — the actual appointments on the calendar.

Creating a job

Most jobs come from an approved quote (Convert to job on the quote). You can also start one directly from Jobs → New job or from a request. Pick the client and the property, add the line items, then set the schedule:

  • One-off — a single visit, or several if the work spans days.
  • Recurring — a repeating schedule (every week, every month). DoneWell creates the upcoming visits for you and keeps creating them as time passes.

Assign the crew — the people who will be on site — and mark one of them as lead. The crew is copied onto each visit; you can change it on any single visit without touching the rest.

On the day

Each visit has Start and Complete. Starting records when the crew arrived; completing records when they finished and logs the hours for everyone assigned. Photos and notes taken on site are attached to the visit and can be shared with the client as a report.

The job's status follows its visits: it moves to In progress when the first visit starts and to Requires invoicing when the last one is completed.

Closing and invoicing

Create invoice on the job builds the invoice from the job's line items — nothing to retype. When every invoice is issued, close the job (Done). A closed job is locked so its numbers stay as invoiced; cancel a job instead if the work is not happening.

If you asked DoneWell to remind you to invoice when the job closes, a reminder appears on the calendar at that moment.
